Position: Office Coordinator

â€¢ We are seeking an organized, personable, and detail-oriented office coordinator to join our organization.
â€¢ You will coordinate various office tasks and functions to ensure office operations run smoothly at all times.
â€¢ Tasks include, but are not limited to, front desk management, answering phones, maintaining office supplies, and scheduling meetings and appointments.
Job Duties and Responsibilities
â€¢ Welcome clients and visitors to the office and assist them as needed
â€¢ Perform various clerical tasks as needed (file papers, organize supplies, etc. )
â€¢ Take meeting notes and transcribe into email, document or spreadsheet form
â€¢ Prepare and send faxes
â€¢ Answer phones and route calls to appropriate persons
â€¢ Take and deliver phone messages
â€¢ Manage, sort, and dispense incoming mail and faxes
â€¢ Prepare outgoing mail, faxes and packages
â€¢ Perform general bookkeeping duties
â€¢ Maintain staff and company calendars Reserve conference spaces for meetings
â€¢ Notify and remind all parties of upcoming events, lunches, meetings etc.
â€¢ Maintain an organized work space at all times
â€¢ Frequently check office supply stock; reorder supplies when needed
â€¢ Track orders and maintain vendor relationships
â€¢ Attend company meetings and take notes, keep minutes, etc.
â€¢ Train and assign tasks to new office clerks or interns
â€¢ Report any updates or pertinent issues that need addressing to the office manager
â€¢ Uphold and carry out company office policies and procedures
Education Required: GCE ´´N´´ Level
Age: 25 - 35 years old
Basic Salary: B$ 300 / Month
