Position: PERSONAL ASSISTANT TO FINANCE DIRECTOR
Total Vacancy: 1 Female

SUMMARY

• Varied responsible secretarial and administrative work involving thorough knowledge of office skills, practices and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Coordinates and provides support to the Finance Director.
• Maintains Finance Director’s calendar, schedules meetings and conferences as needed and coordinates travel.
• Performs a variety of technical administrative and/or secretarial duties relative to the needs of the department.
• Acts as principal secretary to the Department Head with some responsibility for functioning of the department.
• Composes and prepares replies to correspondence, independently, without direction.
• Prepares and maintains departmental records, reports for meetings, notices, agendas, minutes and any other matter responsible for the functioning of the department.
• Performs related work as required.
• May be responsible for other clerical and secretarial personnel within department.

KNOWLEDGE, SKILLS AND ABILITIES:

• Good Knowledge of Accounting procedures.
• Knowledge of record keeping and file maintenance practices and procedures.
• Skill in composing, handling, and responding to written correspondence at an upper management level.
• Skill in prioritizing and handling multi tasks and assignments simultaneously.
• Command of PC hardware, standard office software and spreadsheet programs.
• Considerable knowledge of modern office procedures, equipment, and practices used in the planning and organizing of work to meet goals and objectives.
• Ability to work effectively and courteously with the public and other employees.
• Ability to carry out a wide scope of clerical procedures as well as compose effective and accurate correspondence, reports and similar materials and to deal with non-routine matters.
• Performs related work as required.

LANGUAGE SKILLS:

• Ability to read, analyzes, and interprets general business periodicals, professional journals, technical procedures, or governmental regulations.
• Able to read, write and speak English.
• Ability to write reports, business correspondence, and procedure manuals.
• Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

THIS POSITION REQUIRE APPLICANT TO UNDERSTAND THE ACCOUNTING KNOWLEDGE WITH GOOD SKILLS.
