Position: Procurement and Product Development Officer

Job Description:

Supplier Management

• Evaluate suppliers based on cost, quality, service, availability, reliability
• Nurture, establish and maintain relationships with suppliers – local and foreign appropriate to the company
• Negotiate with suppliers the best prices for company
• Manage suppliers (local and international) that are important to the organisation
• Ensure supplier complies to GIC standards as listed in the Supplier Management Guideline
• Ensure that Supply Agreement is valid prior to product release
• Build and maintain relationship with suppliers with the goal of building trust and strong working relationship
• Identify potential new suppliers suitable for the organisation
• Ensure that organisation’s interest is protected throughout engagements with suppliers under the officer’s portfolio

Costing & Purchase Order Management

• Obtain quote from supplier and alternative supplier for comparison (minimum 3 quotes) and compare costing/ prices
• Prepare product costings which include packaging, carton box, logistics
• Issuing Purchase Orders
• Maintaining records of purchases
• Adhere to Ghanim purchase policy including obtaining approval prior to purchase etc

Contract/Agreement Management

• Provide accurate information to legal to input into the agreements
• Liaise with internal & external legal for final vetting of any legal documents
• Examine, re-evaluate and monitor validity of supplier contracts and agreements
• Prepare risk management (mitigation and contingency plan) for supply contracts and agreements
• Manage any SLA’s (Service Level Agreements) that may be in place

Stock Management

• Monitor and manage inventory of stock from finished goods to raw materials (carton boxes, packaging etc).
• Liaise with relevant departments, particularly Finance, Trading and Sales departments for production and stock replenishment.
• Coordinate and monitor orders and deliveries with QC & Logistics.
• Issue alert on expiry goods to relevant departments.

Administrative

• Forecast and anticipate demand for products and raw materials in advance for products to meet the business needs
• Maintain and monitor budget and costing at all times in partnership with finance
• Meet deadlines

Product Development

• Manage and coordinate the product development process from start to finish as per stated in the SOP
• Develop product within the price range expected & negotiate price with suppliers with the support of PD manager if necessary
• Raise and consult with manager regarding issues during the product development process and propose solutions
• Obtain sign-offs and approval necessary from Management for any cost involved during the product development process including obtaining samples, lab testing etc
• Ensure sign-offs and approvals are obtained from Management for ANY products to be developed and/or to proceed to the PD stage
• Conduct appropriate sensory evaluation testing for products that will be proposed to undergo the PD process
• Manage any product related issues throughout the life cycle of the product & generally monitor the product quality in the market for improvements and innovation etc
• Take proactive role in improving existing products either through new ingredients, improved formulations, improved packaging etc
• Undertake relevant research related to product during the product development stage including obtaining feedback from customers

Customer Management

• Manage strategic customers (local and international) that are important to the organisation
• Ensure that products developed fulfil customer and Ghanim standards
• Ensure that organisation’s interest is protected throughout engagements with customers under the senior officer’s portfolio

Quality Control & Assurance and Halal Management

• Ensure supplier meets international market requirements and standards
• Coordinate with QC Officer to ensure products meet quality standards during key stage of products including production and storage & handling etc.
• Coordinate with supplier on the application of halal permit & certificate including ingredients listed in accordance to the product specifications and ensure the application is monitored
• Coordinate with QC Officer on any product issues including customer complaint and investigations and the resolution for product complaints and future mitigation ·

Import & Export Documentations, Certificates of Analysis & Healthier Choice Logo

• Contact and establish relationship with stakeholders (laboratories, MoH, HPC)
• Apply for all product related import & export documentation such as Certificate of Analysis, Health Certificate, Free sale Certificate when necessary
• Apply for Healthier Choice Logo locally and internationally (Singapore) for appropriate products that comply with the minimum requirements
• Prepare, arrange and obtain quotation and submission (samples & COA) and payment of services for the laboratories
• Prepare other supporting documentations for importation into export country

Others

o Conduct sensory evaluation upon request and/or when samples are provided by suppliers
o Develop report for sensory evaluation and provide recommendation on the way forward of the product/s
o Upon request, provide samples of upcoming products and products in development to potential customers
o Provide product information kit and conduct training to appropriate stakeholders prior/ upon release of new products
o Submit weekly report on product status to Manager and other report as and when requested Support the organisation with ad-hoc tasks requested by Management, Manager and/or colleagues

Requirements:

Proven working experience of at least 3-4 years as Procurement officer / Product Development Officer. in F&B industry
Excellent client-facing
Excellent communication skills - Excellent written and verbal communication skills
Solid organizational skills including attention to detail and multitasking skill

Education Required: Higher National Diploma (HND) or equivalent
Age: 25 - 40 years old
Driving License Class: 3
Basic Salary: B$ 1, 200 / Month
Employment Type: Full Time
