About the Role:

We are seeking a reliable and detail‑oriented Admin & Document Control Clerk who will support both administrative functions and document management tasks. The ideal candidate must be able to read and speak Chinese to communicate and process documents in Chinese when needed.

Key Responsibilities:

Perform general clerical tasks: data entry, scanning, printing, photocopying, and filing.

Manage incoming and outgoing mail, emails, and correspondence.

Monitor office supplies and place orders when necessary.

Arrange meetings, appointments, and manage calendars.

Prepare office documents, reports, memos, and letters.

Receive, log, distribute, and archive both physical and electronic documents.

Maintain document version control: track revisions, ensure updates, and archive outdated versions.

Organize and maintain effective filing systems (digital and hard‑copy).

Assist in audits or reviews to ensure document compliance and integrity.

Ensure confidentiality, accuracy, and accessibility of documents.

Read, interpret, and process documents in Chinese.

Speak with Chinese‑speaking stakeholders (vendors, clients, internal teams).

Translate or assist with communication involving Chinese documents or messages.

Qualifications & Skills:

High school diploma required; diploma or degree in Business Administration, Records Management, or related field preferred.

1‑3 years of experience in administrative or document control roles; more experience preferred for senior level.

Proficient with Microsoft Office (Word, Excel, Outlook).

Strong organizational skills, attention to detail, and ability to multitask.

Excellent interpersonal and communication skills.

Able to read and speak Chinese (Mandarin, Cantonese, or relevant dialect).

Ability to handle confidential and sensitive information with discretion.
